Office Manager

Job description

  • You will be responsible in any aspects of office management, including but not limited to:
    • stationery orders
    • consumables orders
    • contacting and managing building maintenance and property service providers
    • supervision of furniture and structure to ensure the best office efficiency at all times. 
  • You will organize and prepare the company events. 
  • You will manage the company mobile phone account.
  • Manage correspondence, scanning, storing and distributing to respective teams, posting mail whenever required.
  • You will be involved in the management and archiving of paper documentation when special needs require it.
  • You will participate in preparing policies and office guideline communications.
  • You will oversee office budgets and expenses, tracking expenditures, and identifying cost-saving opportunities.
  • You will ensure tidiness, cleanness, and stocks in the workspaces (coffee corners, meeting rooms, print corners etc…).
  • You will suggest new ideas that will help improve the office and the life at Hey Harper.

Job requirements

  • At least 2 years of experience in office management or receptionist role.
  • Adequate social, communication, and negotiation skills.
  • Ability to read and understand a balance sheet.
  • Problem solving attitude.
  • Self-reliance, reliability, and conscientiousness.
  • Independent, reliable and responsible working style.
  • At least full working proficiency in both Portuguese and English.
