Hey Harper is looking for a B2B Retail Operations Specialist to take ownership of the operational execution behind our growing retail business.

As we expand our presence with major retail partners including Target and Walmart, the operational complexity behind getting an order from PO to successful delivery — and ultimately payment — is growing with us.

This role sits at the intersection of retail operations, logistics, systems and data. You'll be responsible for knowing where our active retail orders stand, making sure critical operational steps happen correctly and on time, identifying risks before they become problems, and continuously improving the processes behind them.

This isn't just an order-processing role. We're looking for someone who wants to own an operational area.

What you'll own

  • Manage Target and Walmart retail orders end-to-end, including POs, routing and pickup requirements, labels, ASNs, BOLs, invoices, stock confirmations and operational exceptions.

  • Maintain a clear view of every active retail PO: what's completed, what's blocked, what's at risk and what needs to happen next.

  • Coordinate with warehouses, logistics providers, retail partners and internal teams to keep shipments moving correctly and on time.

  • Identify and escalate risks that could affect shipment timing, invoicing, payment, chargebacks or partner relationships.

  • Maintain and improve the trackers, checklists and SOPs that make our B2B operation reliable and repeatable.

  • Audit active orders and critical documentation rather than relying on memory or assumptions.

  • Investigate recurring issues, understand their root causes and turn them into practical process improvements.

  • Support selected B2C fulfilment operations where the same operational skills apply, including fulfilment exceptions, aged orders, warehouse/carrier follow-up and recurring operational issues.

  • Use operational data to investigate problems, validate information and support decisions.

  • Contribute to new logistics, retail and operational projects as Hey Harper continues to grow.

Job requirements

Who we're looking for

We're less interested in a specific job title or academic background than in how you approach operational work.

You may have previous experience in E-commerce, logistics, retail operations, supply chain, order management, finance/control or another environment where accuracy, deadlines, systems and multiple stakeholders matter.

You are likely to be a good fit if:

  • You're highly organized and comfortable managing several deadlines, dependencies and open topics at the same time.

  • You pay close attention to detail, but also understand why a step matters and what the business consequence could be if something goes wrong.

  • When you encounter a problem, your instinct is to investigate first: gather the relevant information, understand the options and propose a solution rather than simply passing the issue on.

  • You're comfortable taking responsibility for an outcome, not just completing an assigned task.

  • You can work confidently with Excel or Google Sheets and are comfortable learning new systems.

  • You communicate clearly and professionally in English, both internally and with external partners.

  • You enjoy improving processes and creating structure around work that could otherwise depend on memory or manual follow-up.

Experience with EDI, retailer portals, Shopify, ERP/WMS systems, 3PLs, Target, Walmart or other large retailers is a strong advantage, but not a requirement.

Portuguese is preferred for day-to-day team dynamics, but English is the only language requirement.

How we work

This is a full-time role based in Lisbon, with a hybrid working model of 3 days per week in our office near Marquês de Pombal.

You'll report directly to the Head of Operations & CX and work closely with colleagues across operations, finance, customer experience, warehouses, logistics providers and external retail partners.

Hey Harper is a fast-moving ecommerce brand, and our operations evolve quickly as we launch new channels, countries and partnerships.
